Overview
This guide provides basic information about the Poly VVX 250 Desk Set, which is a device used with Zoom Phone. For more information about the deskset, see Equipment for Zoom Phone Users.

Keys and Display
- Hard line keys: Line 1 is your extension line. Lines 2, 3 and 4 are for speed dials--they display the names if you have entered them.
- Display: The display shows Line 1 as the number assigned to you; Date and Time (EST); and the options New Call, Directory, Forward, DND.
Make a Call
- There are four ways to make a call: the speakerphone , button, the headset button, the New Call soft key, or pick up the handset.
- To make a call, you can enter a 10-digit number, a 5-digit on-campus number, or a 3-digit emergency number.
- There is a three-second pause before it dials a 5-digit number. To expedite dialing, press Send.
Note: Specific headsets have not yet been validated for use with Zoom Phone desksets.
Receive a Call
- When receiving and answering a call, the display changes to offer appropriate options.
- When receiving a call: Answer, Silence, New Call, or More. If you press More, Reject and Forward display.
- When a call is answered: Hold, End Call, Transfer, More, Conference, Park, Lines, and Transfer to VoiceMail display.
- During an incoming call, you will see a call notification with the caller ID name and number. The call notification on Poly phones appear the same regardless of whether the call was routed through your direct phone number or another U-M number (e.g., department main number).
Note: The Zoom desktop client and mobile app display more detailed incoming call notifications so you can identify calls to a direct number or another U-M number. While in a call, your in-call status will be synced with the Zoom desktop client and mobile app. Your Zoom contacts will be able to see that you're in a call.
Place a call on hold
- While in a call, press Hold or press the hold button .
- Press Resume or the hold button to resume the call.
Transfer a call
- While in a call, press Transfer or the transfer button .
- Choose a transfer method:
- Consultative transfer (also known as warm transfer): Place the call on hold while you complete the transfer. This option is useful if you need to navigate an automated answering machine for the caller or if you want to speak to the receiving party before your call is transferred.
- Blind transfer (default): Immediately transfer the call and hang up.
- Dial or select the number you want to transfer to.
- Complete the transfer:
- Blind transfer: Tap the phone icon
- Consultative transfer: Press Transfer.
Start a Conference Call
- Make a call.
- Select Conference on the call screen. (The current call will be placed on hold.)
- Enter or select the number you want to add to the call, then press Send. (A new call will start.)
- Select Conference to merge the two calls into a conference call.
Note: You can add up to ten calls to a conference.
Enable Call Forward
- Press Forward.
- Select Always.
- Enter the number you would like to forward calls to.
- Press Enable.
Note: When entering a number to forward to, 5-digit dialing does not work. You need to enter the full number.
Disable Call Forward
- Press Forward
- Press Select
- Press Disable
View Call History
- On the home screen, press Directory then Recent Calls.
- Use the directional pad to navigate call history.
- Press Type to sort entries by call type (missed, received, or placed).
- Press Call to call back.
Check Voicemail
- Access the voicemail message center by pressing Messages on the home screen or the voicemail button .
- Use the navigation pad to navigate to the Message Center.
- Press Connect.
- When prompted, dial your voicemail PIN followed by #.
- Press one of these keys:
K Description
1 Display all voicemail messages starting with your new unplayed messages.
2 Record a voicemail greeting. The greeting will be added to your Zoom Phone audio library. You can also record a voicemail greeting in the U-M Zoom web portal.
- Follow the audio prompts to manage your voicemails.
Note: If you have to access a shared voicemail inbox, you can play them using your desk phone, but you can't identify if the message is from a shared inbox. Use the Zoom desktop client, mobile app, or web portal to identify if the message is from a shared inbox.
Record a Voicemail Greeting
To record your voicemail on the VVX250 deskset follow the steps:
- From the Home Screen, access Messages .
- Select the Message Center.
- Press Connect.
- Enter your PIN code followed by (#)
- Two options will be available: Press 1 to listen to your messages, Press 2 to record a greeting.
- Press 2 and record your greeting. The greeting will be added to your Zoom Phone audio library.

Set Status to Do Not Disturb (DND)
You can set your phone's status to DND if you want to block incoming call notifications to your desk phone.
Note: The DND status only applies to the phone you set it on. This status does not sync to the Zoom desktop client or mobile app. Turning on the DND status will mute the notification sound but will still display a visual notification on the phone's screen.
- Press DND on the home screen. You will see this icon at the top of the screen: .
- Press the same button to reset your status.
Note: The calls received while Do Not Disturb is set will go to voicemail. There is no indicator to inform you that voicemails have been received, so it is advisable to check after resetting your status.
Set Line Keys (Speed Dial)
- Sign in to the Zoom web portal.
- Click Phone.
- Click the Settings tab.
- In the Keys & Positions section, click View or Edit.
- Click Manage Keys.
