Annotating Documents

  1. Search for the document you wish to annotate.
    Note Only documents with the following file types can be annotated: tif, g42
  2. Select the Annotate Page Icon.

  3. Then select Create Annotation.

  4. A dashed box will appear around your mouse icon.  Hover over where you need to place the annotation and click to bring up the Annotation Menu.

  5. Select the Annotation Type and Annotation Template from the dropdowns then click Add.

  6. The Annotation will appear.  You can select it and drag/move it, if you need to adjust the location of the annotation within the document.

    Additionally, you can Edit or Delete it by selecting the appropriate icons,  if needed.

  7. Save the document.

Appending Documents (aka merging or combining) 

  1. Search for the document you wish to merge/append.  
  2. Update the Document Properties (including Type) to match the document you wish to append to. 
  3. Click Save.

  4. The following warning message appears letting you know a document already exists with the specified keys (properties).

    Click Append to append to the existing document.  Click Cancel to return to the edit screen to update the properties to no longer match an existing document.
    Note Clicking Replace will delete the existing document and overwrite it with the document you are working with.  This action cannot be undone
  5. After you click Append, the document is closed and moved into the existing document. To find the document you just appended to, search for the document using the same keys (properties) that you entered when appending and open the document.  The appended document appears at the end of the document. 

Reordering Pages

  1. While viewing your document, turn on the thumbnail viewer by selecting the grid icon from the upper right side of the screen. This icon is used to toggle the thumbnail viewer on/off.

  2. Select the thumbnail of the page you wish to move/reorder, then drag/drop it to the correct location within the document.

    You will see a message displayed at the top of the screen indicating that the reorder was successful.

Adding Documents to Workflow

  1. Search for the document you wish to add to a workflow.
  2. From the search result screen, click the checkbox that is to the left of the document to select it. 
  3. Then click on the Add to Workflow icon from the top menu bar.

    Note You can also select the Add to Workflow icon from within the document viewer as well.

  4. Select the appropriate workflow process and queue then click Add.

  5. The Workflow Icon appears to the left of the document and a message appears letting you know the document was added to the workflow successfully.

Routing Documents within Workflow

  1. To route a document forward or to another queue, you must first navigate to the workflow.  From the Home screen, select Workflow.

  2. From the left side listing of Workflow Processes, select the workflow you need.  Only the workflows you have access to will appear in the listing.

  3. Then select the queue you need after the workflow process is expanded.

  4. To route the document forward to the next queue process, hover over the document and click the checkbox that is to the left of the document to select it.
  5. Then click on the Route Forward icon from the top menu bar.

    Note You could also click on the document to open it in the workflow document viewer and the Route Forward icon is available there as well. This is handy if you first need to edit the document before routing forward to add additional document properties for example.

  6. Once you click the Route Forward button, the document is removed from the queue list.  If you had the document opened in the workflow document viewer, the document is closed and you are returned to the queue list.
