ExamScan: Overview and Instructions for Instructors

ExamScan converts hand-written and graded exams and assignments to digital form. It allows instructors to return exams electronically rather than having students pick up the hardcopies. It is especially useful for large classes.

ExamScan is for instructors who are not using online exam or assignment formats. It does not create bubble test forms.

ExamScan uses Box to store scanned exams. Please note that ExamScan is not integrated with Canvas.

1. Registration and setup

NOTE If you’re in LSA, contact lsa-iss-examscan@umich.edu for assistance in printing barcodes.
  1. Download an ExamScan Class Registration Spreadsheet.
  2. Complete and submit it to ITS-Exam-Scanning-Support@umich.edu. You will receive a roster of enrolled students from ITS.
  3. Print barcodes for each student’s exam.
  4. Affix barcode labels to your student’s exams.
  5. Download and complete an ExamScan Exam Cover Sheet
  6. Format your exams as explained in Section #3, below.
  7. Send the cover sheet and graded exams to ITS Document Imaging (Wolverine Tower). *
  8. Receive an email confirmation acknowledging receipt.
  9. Receive an email confirmation that exams are available to instructors only.
  10. Authorize ITS by return email to release exams to students.

*Note: As of July 1, 2017, requests for exams to be returned must be arranged by the department. As a standard, Metro Delivery can plan pickups, three days after delivery to Document Imaging.  


2. Formatting exams for ExamScan

Page format

  • The first page of the exam should have a minimum 1” top margin for sufficient white space for the barcode label that instructors/students typically affix.
  • The upper-left-hand corner of the exam needs sufficient white space so that no critical information is lost when ITS *cuts off* this corner along with the staple.
  • Both double-sided and single-sided exams are fine. With double-sided, if the page is totally blank (and white — not colored paper), the blank page will not be included in the scan file.
  • We can easily scan 8.5 x 11”, 8.5 x 14” and 11 x 17” pages.


  • Most pen marks scan well, but we recommend using red ink for the best results.
  • All exams should be graded and the final grades recorded before exams are submitted for scanning.

3. Using U-M Box for Instructors and Students

Your students will receive a link to the help page ExamScan: Viewing Scanned Exams in U-M Box (Students) as part of the email notification they receive when their exams are released. You may also want to include this link in your course materials.

4. Frequently asked questions

  • How long will it take for exams to be scanned?
    Up to three business days, except it may take longer during the final exam period.
  • After I review the exam scans, can I schedule with you when you release them to my students?
    Yes. We can’t schedule a precise time but if you tell us you don’t want to release them *before* a certain time, we won’t.
  • I don’t want my students to get an email from you when the exams are released. Can I request that?
    Yes. Indicate this option on the ExamScan Cover Sheet that will accompany your exams.
  • Can students access their scanned exams inside Canvas?
    Not at this time.
  • Can you scan exams double-sided?
    Yes. Indicate this option on the ExamScan Cover Sheet that will accompany your exams.
  • I want to split up my students according to their individual sections and have the GSIs only be able to see their own student exams. Is this possible?
    Not at this time, but we would like to provide this feature in the future.
